How you can get the most from your photocopier
Getting a new photocopier for your place of work is a great decision and will be a huge boost to your productivity. As standard, all modern photocopiers are able to print, scan, email and photocopy and are designed to fit into your office and start working right away with no fuss.
Besides their standard functions, photocopiers supplied by Print Logic are also able to perform a variety of additional functions – knowing what these are and how you can use them will ensure that you get the most from your new device.
Print Logic, print management and digital workflow leaders in the North West and Midlands, are experts at helping businesses across the UK get the most out of their photocopiers and printers. Our print experts regularly listen to and work with our customers, taking notes on how they use their devices and offering free tips and tricks on how they can get even more extra features from their machines.
We’ve listed a few of the most useful tips we regularly advise our customers with, as well as how they can benefit you to let you get the most out of your printer or photocopier.
Print Release – No more long waits for prints
If you work in a busy office, you might have had to spend a long time waiting for the printer to be free to use. Long queues at the copier are definitely a real frustration for many people, especially when you need to print off an important file for a meeting.
Print Release is an extra feature you can add-on to your photocopier, which allows your print jobs to be released from any machine you choose, even after you’ve selected a printer and clicked print. Documents are sent to a shared location, and then confirmed when you reach the printer, so even if your first choice is busy, you’ll be able to walk to any other connected copier and print your files from there.
Having print release removes the need to wait in long lines, and saves all of the time wasted doing this. It also makes your office compliant with data protection regulations such as GDPR, as print jobs wont be sat in a printer waiting for you to collect them (and for all the world to see whilst they’re there).
Finishers – get even more print options
Printing, scanning, photocopying and emailing are all standard features of every photocopier. What a lot of people don’t know is that they have the capability to perform even more specialist functions with the right add-ons though.
These modular add-ons are called ‘finishers’, and they can boost the capability of your photocopier in hugely beneficial ways.
Finishers come in all sorts of options, and they allow your photocopier to be able to do extra functions such as stapling, booklet making, hole-punching, faxing and even folding. Adding a finisher to your photocopier means you can get even more out of it, some uses include being able to print off marketing assets in-house (and therefore saving on expensive third-party printing companies) or stapling together documents at the copier.
The combinations and options can be chosen entirely by you, and a print expert can help identify and advise the best ones for the job.
Extra copy options – get the copier to do more
There are many additional options which can be selected when using the copy function on a standard photocopier. This extra options can allow you to use the device’s full copying potential which will in turn make the machine more productive.
Features such as ‘blank page skip’ tell the copier to skip out blank pages in a stack of files which need copying (and thereby saving the print cost) help. Another useful feature is card shot – handy for when you need to photocopy a passport for instance.
There are many features which are on the copier as standard, and by speaking with a print expert you’ll be able to identify which one’s you’ll benefit from using and go on to save even more time.
Print Logic YouTube channel – tips and fixes from the experts
With regular videos being uploaded all the time, Print Logic’s YouTube channel is a great resource to have at your fingertips.
Our in-house team of print experts regularly upload videos made to help our customers get more from their copiers – maybe it’s a tech support video on how to resolve a paper jam, or a tutorial video explaining how to use some of the more complex features of a particular photocopier model.
All of our videos are designed to improve our customer’s experience when using their devices, and we’ve carefully selected the most effective topics to discuss. Additionally, all videos are organised by make and model of photocopier, so it’s very easy for you to find exactly what you’ll need.
A complete print review – identify how you can improve your printing
Probably the most effective way to gauge how you can get the most out of your photocopier is to undertake a complete print audit. This process works in the background of normal operations and allows Print Logic print experts to analyse both effective and unproductive activities or processes.
With this knowledge in hand, we’ll be able to advice how you can optimise your photocopier use as much as possible, showing you the key and detailed notes from our findings. Advice on improvements could be as simple as recognizing that a high-cost device is being used to print documents in black and white and at a higher cost than another printer which is meant to be used for this task. Or it might identify that a high number of jams is occurring on an older machine regularly, and that a more reliable device may be required.
This review is done at no extra charge, and can hugely improve the reliability, speed, effectiveness and cost of your printing fleet.
